Which personal data we collect and why we collect it

Collection and use of personal data from customers, suppliers and other contractors

Please note that the personal data you provide to us will be collected and used because this is necessary to conclude and perform any agreement with you. This applies both to our (potential) customers and to parties from whom we purchase goods and/or services.

If you are a (potential) customer of ours, we use your data to send you a quotation, to determine which specifications or requirements a particular good or service must meet, to deliver goods or perform work for you, to invoice you, and to communicate with you quickly and efficiently about the execution aspects of the agreement.

If you are a (potential) supplier or other contractor, your personal data are likewise necessary for concluding and performing the agreement. For procurement this is required in order to inform you about which specifications or requirements a particular good or service should meet from our perspective, to send a request for quotation or to place an order with you, to pay your invoices, and to communicate with you quickly and efficiently about other aspects of the agreement.

You are not obliged to provide us with your personal data. However, if you do not provide us with sufficient personal data, it may not be possible for us to carry out the aforementioned activities.

Comments

If visitors leave comments on the site, we collect the data shown in the comment form as well as the visitor’s IP address and browser user agent string to help detect spam.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service if you use it. The Gravatar service’s privacy policy can be found here: https://automattic.com/privacy/

Media

If you are a registered user and upload images to the site, avoid uploading images that contain EXIF GPS location data. Visitors to the website can download images from the site and extract location data.

If you are a one-time customer, we will only send you promotional messages if you have given us your prior consent.

With whom we share your data

In connection with the performance of any agreement with you, it may be necessary for us to provide your personal data to parties who supply components, materials, and products to us or who perform work on our behalf. In addition, we use external server space for storing (parts of) our sales and purchasing administration, which contains your personal data. For that reason, your personal data are provided to our server provider. We also use Microsoft Office and its storage capabilities for emails and other files. Finally, because we use a newsletter mailing service, your personal data are passed on to the provider of that service.

Analytics

WARP Systems may use Google Analytics to track how users use the website and how effective WARP Systems’ AdWords ads are on Google search results pages. Such information, including the address of your computer (IP address), is transferred to and stored by Google on servers in the United States. Read Google’s privacy policy for more information: https://policies.google.com/privacy?hl=nl. There you will also find the Google Analytics privacy policy.

Google uses this information to evaluate website usage, to provide reports on the website to WARP Systems, and to provide advertisers with information about the effectiveness of their campaigns. Google may disclose this information to third parties if required to do so by law or to the extent that third parties process the information on behalf of Google. WARP Systems has no influence over this. WARP Systems has not given Google permission to use Analytics information obtained via WARP Systems for other Google services.

Retention period for personal data

If you requested a quotation from us but did not become a customer, we will delete your data no later than one year after our last contact. Likewise, if we received a quotation from you but did not become your customer, we will delete your personal data no later than one year after our last contact. If you did become our customer, we will retain your personal data for a period of seven years after the end of the financial year in which the agreement with you was fully executed. The seven-year period corresponds to the period during which we are required to retain our administration for the Tax Authorities. After this period, we will delete your personal data.

Your rights

You have the right to request access to your personal data. If applicable, you may also request that we supplement your personal data or correct inaccuracies. In addition, you have the right to request deletion of your personal data or to request restriction of its use. You may also object to the collection and use of your data or file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). Finally, you may request receipt of your personal data or transfer of those data to another party.
